Position Summary

The Executive Associate will provide administrative support to the Executive Director, Pediatric Center of Excellence (PedCoE). This role is critical to ensuring seamless coordination of the executive’s calendar, travel, and operational logistics, while also contributing to broader PedCoE team effectiveness through project support and data management.

Key Responsibilities

Proactively manage complex calendars, schedule internal and external meetings, and coordinate logistics across time zones and stakeholders.

Plan and manage domestic and international travel, including itineraries, accommodations, and expense reporting in compliance with company policies.

Prepare and reconcile expense reports, track departmental budgets, and support financial planning activities as needed.

Draft, edit, format presentations, reports, and communications for internal and external audiences.

Organize team meetings, offsites, and special events, ensuring all logistics are handled with precision and professionalism.

Contribute to special projects and initiatives across the Late HOCT organization, including process improvements and cross-functional collaboration.

Qualifications

Proven experience supporting executives in a fast-paced, matrixed organization.

Exceptional organizational skills with the ability to manage multiple priorities and deadlines.

Strong attention to detail and a proactive, anticipatory mindset.

Excellent communication and interpersonal skills; able to build trust and operate with discretion.

Proficiency in Microsoft Office Suite (Outlook, Teams, PowerPoint, Excel, Word) and familiarity with enterprise systems (e.g., Workday, Concur) is preferred.

Ability to work independently and as a collaborative team member.

Madison - Giralda - NJ - US: $74,630 - $90,434
Princeton - NJ - US: $74,630 - $90,434 


The starting compensation range(s) for this role are listed above for a full-time employee (FTE) basis. Additional incentive cash and stock opportunities (based on eligibility) may be available. The starting pay rate takes into account characteristics of the job, such as required skills, where the job is performed, the employee’s work schedule, job-related knowledge, and experience. Final, individual compensation will be decided based on demonstrated experience.

Paid Time Off

US Exempt Employees: flexible time off (unlimited, with manager approval, 11 paid national holidays (not applicable to employees in Phoenix, AZ, Puerto Rico or Rayzebio employees)

Phoenix, AZ, Puerto Rico and Rayzebio Exempt, Non-Exempt, Hourly Employees: 160 hours annual paid vacation for new hires with manager approval, 11 national holidays, and 3 optional holidays
