We are looking for a Marketing Support Coordinator to join our team in Sofia. This role is ideal for a well-organised, proactive, and collaborative professional who enjoys supporting marketing activities, coordinating events, managing documentation, and ensuring smooth day-to-day administrative operations. In addition to the core marketing support responsibilities, the role will also provide Reception Desk support during periods when the receptionist is absent.
In this position, you will support the marketing and sales teams with the preparation and coordination of business activities, including documentation for approvals, sponsorships, payments, meetings, and events. You will help organise congresses, conferences, scientific forums, team meetings, trainings, and other internal or external events, including registrations, travel arrangements, accommodation, transfers, logistics coordination, and communication with vendors and service providers. The role also includes creating and monitoring purchase orders, preparing letters and forms, managing speaker payment documentation, supporting field-force-related event administration, and contributing to audit readiness and compliance with internal policies and local regulations.
As a secondary responsibility, you will provide reception and office support when the designated receptionist is absent, including handling incoming calls and general enquiries, welcoming visitors and guests, maintaining the visitor log, coordinating incoming and outgoing mail and courier services, preparing meeting rooms and arranging catering, and supporting office events. You will also help maintain office supplies, assist with scanning, printing, copying, and document filing, support onboarding logistics for new employees, help coordinate travel and accommodation for visitors and staff when required, and contribute to the smooth day-to-day functioning of the office environment.
Your Profile
We are looking for someone with strong organisational skills, attention to detail, a proactive mindset, and the ability to manage multiple priorities effectively.
Strong MS Office skills, especially Outlook, Excel, and Word, are essential, as well as confidence in working with internal and external stakeholders and fluency in Bulgarian and English (both verbal and written).
The successful candidate will ideally bring at least two years of experience in administrative or related roles, along with excellent prioritisation skills, ownership and accountability, strong communication skills, flexibility, resilience, problem-solving ability, and a willingness to learn.
Confidence in communicating with senior staff, distinguished guests, and officials will also be important.
A Bachelor's degree, experience in a corporate environment, and good stakeholder management skills would be considered an advantage.
